Municipality of Roosendaal takes steps towards a smart building

Municipality of Roosendaal's ambition is to transform their office into a smart building, in which technology contributes to more efficient and flexible workplace management. The municipality wants to modernise and optimise their office space to provide employees with a pleasant and efficient workplace.

On busy days, however, a shortage of available workstations developed, leading to many complaints from employees because they had no place to work. Moreover, there was no clear insight into which areas or departments were used the most, making it difficult to allocate workstations optimally and organise cleaning management effectively. Roosendaal municipality therefore needed a solution that would not only improve the workplace experience, but also pave the way to a smart office, where data supports decision-making, optimises wayfinding and optimises processes.

Data-driven workplace management

Zens offered a solution that perfectly matched Roosendaal's vision. We implemented wireless chargers in all desks supplied through Gispen. The smart chargers are linked via sensors to the Zens Desk Management System. This system collects and displays data on the use of workstations, giving facility managers real-time insight into office occupancy rates.

Using this data, the Municipality can now quickly and easily see which departments and zones are busiest and on which days. The plan is to display these insights per floor on screens so that employees can see at a glance which workstations are available and facilitate wayfinding within the office. This not only ensures more efficient use of workstations, but also helps to relieve busy departments and give employees more flexibility in their choice of workstations. Moreover, the insights provided by the system can contribute to the decision to create additional workstations over time, should the need arise based on peak load data.

Optimisation of facility services

In addition, the data is used to optimise cleaning management. Because cleaning staff can see in real-time which workstations have or have not been occupied, they can clean in a more targeted and efficient way. This saves time and resources and contributes to more sustainable and efficient building management. With 245 workstations, the Zens Desk Management system not only provides insight, but also enables the municipality to make optimal use of these flexible workstations and manage them efficiently.

Results and insights

According to Manouk Rutten, Facility Officer at Municipality of Roosendaal, this technology helps the organisation achieve their goals: ‘With the insights we now have per floor, we can not only better manage crowds and support wayfinding, but also organise our cleaning process and workplace management more efficiently. And also importantly, employees appreciate the convenience of the wireless chargers. This really contributes to our goal of creating a nice workplace, where data helps us work smarter and make the best use of our facilities.’
